About The Role
The Administrative Assistant II at CTC plays a vital role in supporting the operational efficiency of the department by providing intermediate-level administrative support. Qualifications
- High school diploma or equivalent; some college coursework preferred.
- Minimum of 2+ years of experience in administrative or clerical support roles.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time management skills.
- Excellent verbal and written communication abilities.
- Ability to work independently and exercise sound judgment.
- Ability to handle multiple priorities efficiently.
Preferred qualifications include familiarity with project management tools, experience coordinating travel and expense reports, strong interpersonal skills, and knowledge of departmental workflows and office procedures.
Responsibilities
- Prepare, edit, and finalize complex documents such as reports, proposals, presentations, and correspondence, ensuring accuracy and professionalism.
- Draft and proofread correspondence, maintaining adherence to company standards and style guides.
- Manage and organize department files and records, ensuring compliance with retention policies.
- Assist in creating templates, forms, and standardized documents for departmental use.
- Receive, screen, and prioritize phone calls and emails, responding or redirecting inquiries as appropriate.
- Act as liaison between the department and internal/external stakeholders to facilitate effective communication.
- Coordinate and schedule meetings, prepare agendas, take minutes, and distribute follow-up actions.
- Arrange complex travel itineraries, including transportation, accommodations, and scheduling, aligned with company policies.
- Prepare and reconcile expense reports, ensuring accuracy and timely submission to finance.
- Support departmental projects by tracking deadlines, organizing materials, and coordinating team activities.
- Monitor and manage office supplies, ensuring departmental needs are met within budget constraints.
- Assist with onboarding new team members by preparing materials and scheduling training sessions.
- Provide backup support to other administrative staff as needed and perform additional tasks assigned by the manager.
