Job Summary
We are seeking a detail-oriented Assistant to handle accounts, documentation, and administrative support in our Jashore office. The role involves preparing official letters, managing communications with government bodies, supporting field data activities, and ensuring compliance with payment and record-keeping requirements.
Key Responsibilities
- Perform accounting and data management tasks using Microsoft Excel, including financial data analysis, reporting, record maintenance, and supporting financial documentation under the supervision of the Accounts Officer.
- Reviewing and verifying bills for HAP project activities
- Checking travel allowance (TA) and daily allowance (DA) claims for field staff to ensure they match approved field visit logs and project guidelines.
- Correctly calculating and deducting source Tax and VAT from vendor bills and staff payments according to national regulatory standards before disbursements are made.
- Tracking and reconciling financial advances given to Upazila Coordinators or District coordinators for conducting local events, ensuring all supporting vouchers are submitted within the required timeframe.
- Assisting with the tracking and physical verification of project-specific fixed assets
- Compiling and formatting monthly expenditure data into clear Excel summary tables to help Project Directors and Accounts Officers compare actual spending against the approved budget.
- Organizing, indexing, and maintaining secure physical and digital archives of all financial vouchers, bank receipts, and donor approvals, ensuring the project is always ready for internal or external donor audits.
- Make agreements with suppliers and maintain documentation.
- Prepare monthly bills of supplies based on the agreement and use of products and services
- Prepare various official letters and maintain records of incoming/outgoing information from DGHS, NGOAB, DC/UNO offices.
- Prepare and manage Memorandums of Understanding (MoUs).
- Support surveys, data collection, and verification as per targeted inputs.
- Check working records, manage motorcycle/vehicle logistics, and compile field staff information and documentation.
- Handle payments, VAT, taxes, and provide support to the accounting team.
