About The Role
Key Responsibilities
1. Bid Preparation & Documentation
- Prepare, compile, and organize bid requirements (administrative, technical, financial).
- Review documents for accuracy, completeness, and compliance.
- Ensure timely submission of bids (manual or electronic).
- Maintain an updated repository of standard bid documents and certifications.
2. Opportunity Monitoring & Research
- Monitor government procurement portals for new bid opportunities.
- Track deadlines, pre-bid meetings, amendments, and announcements.
- Conduct research on procuring entities, projects, and competitor landscape.
3. Compliance & Procurement Standards
- Ensure alignment with RA 12009 and relevant procurement regulations.
- Maintain updated records of company eligibility documents.
- Support renewal of registrations, permits, and mandatory certifications.
4. Stakeholder Coordination
- Communicate with internal departments (Finance, Legal, Technical) for bid requirements.
- Coordinate with government procurement officers and external partners.
- Assist in scheduling and documenting pre-bid and clarificatory meetings.
5. Reporting & Documentation Management
- Maintain accurate bid logs, trackers, and filing systems.
- Generate reports on bid status, win/loss analysis, and document expirations.
- Contribute to improving documentation templates and procedures.
Qualifications
1. Education
- Bachelor’s degree in any field with preference of graduates in Business Administration, Accountancy, and Political Science.
- Open to fresh graduates with strong academic standing or internship experience.
2. Experience (Preferred but Not Required)
- Work or internship experience in procurement, bidding, legal, and compliance is an advantage.
- Knowledge of government procurement processes is a plus.
- Experience of working with Bids and Awards Committee (BAC) of a Government agency is a plus
3. Skills & Competencies
- Strong attention to detail and accuracy.
- Excellent organizational and documentation skills.
- Good analytical and research abilities.
- Strong communication and coordination skills.
- Proficiency in Microsoft Office tools (Word, Excel, PowerPoint).
- Ability to work under pressure and manage multiple deadlines.
Trainings & Certifications (Preferred, Not Required)
- Public Procurement Specialist Certification (any level)
- RA 12009 and IRR Training Courses / Conferences
- Basic Contract Management Training
- Compliance & Regulatory Training Programs
