Main Job Purpose
The Bid/Tender Officer will manage the end-to-end coordination, preparation, submission, and tracking of bids and tenders supporting Sixt KSA’s mobility and transportation business, working remotely from Egypt. The role focuses on compliant, on-time, and high-quality tender submissions in both English and Arabic, ensuring Sixt KSA presents competitive, accurate, and compelling proposals for government and corporate opportunities.
Accountabilities
- Manage the full tender lifecycle from opportunity receipt to final submission, including document review, clarification tracking, internal coordination, and post-submission follow-up.
- Analyse RFPs/RFQs/ITTs and tender portals to extract requirements, timelines, commercial conditions, and evaluation criteria, and prepare a clear internal action plan and checklist.
- Coordinate inputs with sales, operations, finance, legal, and management in KSA to compile complete, compliant technical and commercial responses.
- Draft, edit, and format proposal content, letters, forms, and responses in English and Arabic, ensuring consistency of tone, terminology, and branding.
- Prepare, update, and maintain standard bid content, templates, CVs, company profiles, and case studies tailored to mobility, car rental, leasing, and limousine services.
- Build and refine PowerPoint presentations and executive overviews for client submissions, clarification meetings, and internal approvals.
- Ensure all mandatory documents (certificates, licenses, financials, compliance forms, bonds/guarantees) are requested, compiled, and validated ahead of deadlines.
- Maintain a structured tracking system for all bids (pipeline, due dates, responsibilities, submission status, clarifications, results) and produce regular status reports.
- Conduct pricing checks, basic financial/tariff analysis, and scenario comparisons to support competitive pricing strategies in coordination with KSA stakeholders.
- Review tender documents and responses for accuracy, completeness, and alignment with client requirements, ensuring zero non-compliance due to administrative errors.
- Support post-submission activities including clarifications, re-submissions, contract negotiations support documentation, and handover to operations once awarded.
- Contribute to continuous improvement of bid processes, tools, templates, and knowledge library for Sixt KSA.
Qualification
- Bachelor’s degree in Business, Finance, Commerce, English, Translation, Engineering, or a related field.
- 3+ years of experience in bid/tender management, proposal coordination, or similar roles, ideally in mobility, transport, leasing, or related B2B services.
- Arabic and English languages is required, excellent business writing and editing skills.
- Strong MS Office skills, particularly PowerPoint for presentation development and Excel for data, pricing, and analysis.
- High proficiency in structuring documents, formatting large proposal packs, and managing multiple file versions and checklists in shared environments.
- Solid analytical skills to interpret tender requirements, evaluate risks, compare pricing options, and validate numerical data.
- Strong attention to detail with rigorous quality-checking of all documents, numbers, and attachments before submission.
- Excellent communication skills, with the ability to draft clear, concise, and persuasive content and presentations.
- Proven track record handling government and corporate tenders in the Middle East, including portal-based submissions and e-procurement platforms.
- Highly organized, able to manage multiple concurrent tenders with strict deadlines and shifting priorities.
- Reliable and deadline-driven, with a strong sense of ownership and accountability for on-time, compliant submissions.
- Proactive, structured communicator, comfortable working remotely with KSA-based teams via email, calls, and collaboration tools.
- Process-oriented mindset with a continuous improvement attitude towards templates, processes, and knowledge management.
