Job Description

We are seeking a detail-oriented and proactive Compliance Officer to oversee and ensure compliance with all HR, Payroll Processing and labour laws. The role will act as a key liaison between the Finance and HR departments, ensuring smooth coordination, accurate reporting, and regulatory compliance. The candidate will also manage employee’s Conveyance and Expense reimbursement processes.

Key Responsibilities

1. HR & Labour Law Compliance

  • Ensure adherence to all applicable labour laws, including Provident Fund (PF), Employee State Insurance (ESI), Labour Welfare Fund (LWF), Gratuity, Bonus, BOCW returns, and other statutory HR compliances.
  • Maintain and update statutory registers, records, and documentation as required under relevant laws.
  • Coordinate and facilitate inspections, audits, and assessments related to labour law compliance.
  • Liaise with external consultants and government departments for compliance audits and statutory requirements.
  • Stay updated on amendments in labour laws and ensure timely implementation of necessary changes

2. Payroll Processing

  • Manage and execute end-to-end monthly payroll processing for the entire group, ensuring accuracy, confidentiality, and timely disbursement.
  • Prepare and validate payroll inputs including attendance, leave records, incentives, deductions, and adjustments.
  • Handle income tax computations, including TDS calculations, investment declarations, proofs verification, and year-end tax reconciliations as per applicable regulations.
  • Ensure accurate calculation and deduction of statutory components such as PF, ESI, Professional Tax, Labor Welfare Fund, and other applicable deductions.
  • Maintain payroll-related statutory registers, records, and documentation in compliance with applicable laws and regulations.
  • Coordinate and support internal and external payroll audits, ensuring proper documentation and timely resolution of audit queries.
  • Generate payroll reports, MIS, and compliance reports for management review and statutory submissions.
  • Ensure compliance with all payroll-related statutory requirements and timelines.

3. Reimbursements & Conveyance Management

  • Manage end-to-end employee reimbursement processes, including travel, conveyance, medical, and other expense claims in accordance with company policies and applicable tax regulations.
  • Ensure timely disbursement of approved claims through payroll or separate payment cycles.
  • Scrutinize supporting documents (bills, receipts, approvals) for accuracy and compliance.
  • Maintain proper records and documentation for all reimbursements to support audits and statutory requirements.
  • Coordinate with employees and departments to resolve discrepancies or incomplete submissions.
  • Monitor reimbursement trends and prepare reports/MIS for management review.
  • Ensure compliance with applicable tax provisions, including treatment of taxable and non-taxable reimbursements.

4. Coordination & Liaison

  • Act as a bridge between Finance and HR teams for compliance-related matters
  • Align payroll inputs with statutory requirements
  • Support cross-functional teams in compliance-related queries

5. Policy & Process Management

  • Develop, review, and update compliance policies and SOPs
  • Ensure adherence to internal controls and company policies
  • Conduct periodic compliance checks and risk assessments

Qualifications & Skills

  • Bachelor’s degree in Finance, Accounting, HR, or related field (CA/CS/LLB preferred)
  • 3–7 years of experience in Labour Compliance and Payroll Management.
  • Strong knowledge of Indian labour laws and financial regulations
  • Good understanding of payroll and statutory compliance
  • Proficiency in MS Excel and compliance tools
