Job Summary
The Conflicts Administrative Assistant supports the firm’s risk management need and the firm’s new business function by providing administrative support including processing and managing client communications associated with retention letters, matter scope confirmations, closure notifications, and outside counsel guidelines. This position also maintains firm’s databases regarding such client communications.
Note
This position is initially focused on the cleanup and organization of core client documentation and related process improvements. Upon completion, responsibilities will transition to broader administrative support within the Conflicts Department.
Job Responsibilities
Primary Focus: Database Cleanup & Process Improvement
- Conduct a comprehensive review, organization, and summarization of engagement letters (ELs) for approximately 2,900 open clients.
- Collaborate with the Tech team to attach ELs and client documentation in Intapp, and update conflict-specific notes in 3E, Intapp, and other relevant systems.
- Examine and verify iManage documents for accuracy and completeness.
- Standardize and update client notes, including flagging advance waivers or client restrictions to ensure clarity and compliance.
- Escalate complex matters or irregularities identified during the cleanup process to the Director, Senior Director, or General Counsel.
- Support ongoing quality assurance, compliance initiatives, and process improvement as part of the cleanup project.
- Provide coverage and assistance for other admin team members during absences, as needed throughout the cleanup phase.
Upon Completion of Cleanup Project: Transition to Standard Administrative Duties
- Process and manage client administrative correspondence, including engagement letters, agreements, matter scope confirmations, and closure notifications.
- Coordinate client administrative communications for conflicts attorneys and firm attorneys, ensuring approved communications are sent and appropriately filed.
- Maintain firm databases and intranet content related to engagement letters and outside counsel guidelines.
- Monitor mailboxes associated with closure, retention, and scope communications, routing questions to Conflicts Department management as needed.
- Serve as the primary interface with attorneys and administrative assistants regarding processes, and provide assistance with specific questions or issues.
- Assist Conflicts Department management with client communications reports, including those related to engagement letters and closure communications.
- Collaborate with secretaries, attorneys, and other departments (including Pricing) on matters related to matter opening.
- Support the overall Conflicts Department team as needed on projects requiring administrative support.
- Perform other duties as assigned.

- Basic skill in operating standard office equipment, including desktop computers, facsimile machines, copiers, telephones.
- Knowledge of Microsoft programs including Outlook, Word, and Excel.
- Knowledge of iManage, Elite 3E, and Intapp Open are a plus.
Education
This position requires an Associate's Degree or equivalent training and experience regarding the position requirements may substitute for education.
Experience
No experience necessary. Training will be provided on the job. Directly related experience in legal communications, database maintenance and report preparation, as well as working in a law firm environment a plus.
Pay Range
$50,000 – $76,000 USD
Our Firm is committed to fair and equitable compensation practice in accordance with applicable laws. Additional compensation may include a discretionary bonus. The salary for this position may vary based on location, market data, an applicant’s skills and prior experience, certain degrees and certifications, and other factors.
