GRS Recruitment is working on behalf of a well-established and diversified Group of Companies to recruit a highly organised and proactive Corporate Administrator to join their Legal Department in Limassol. The successful candidate will play a key role in supporting corporate governance, legal administration, and company secretarial matters across multiple entities and jurisdictions. This is a fully onsite position, offering a stable and engaging working environment, with an excellent work-life balance including an early 2:30pm finish every Friday.
MAIN DUTIES AND RESPONSIBILITIES
- Provide day-to-day administrative support to the Legal Department on corporate and governance matters across the Group
- Maintain and organise corporate files, statutory records, contracts, and legal documentation, ensuring accuracy, confidentiality, and version control
- Assist with company incorporations, restructurings, strike-offs, and other corporate changes
- Prepare board resolutions, shareholder resolutions, powers of attorney, and standard corporate documents
- Coordinate document execution, signatures, certifications, apostilles, and legalisations
- Liaise with external lawyers, corporate service providers, banks, government authorities, and other stakeholders
- Maintain and monitor the Group’s contracts register, including renewal dates, notice periods, key deadlines, and related follow-ups
- Monitor annual compliance obligations, statutory filings, licence renewals, and regulatory deadlines
- Assist with KYC/AML requests, due diligence documentation, and corporate information requests
- Support bank account opening procedures and related documentation processes
- Track legal matters, action points, and deadlines to ensure timely completion and follow-up
- Coordinate meetings, agendas, and circulation of documentation where required
- Maintain efficient electronic and hard-copy filing systems
- Exposure to reviewing simple and standard-form agreements such as NDAs, supplier agreements, service agreements, and engagement letters
- Familiarity with checking agreements against approved templates, internal policies, and agreed commercial terms
- Ability to identify and escalate non-standard contractual clauses to Legal Counsel
- Experience preparing concise summaries of key contractual terms, obligations, risks, fees, renewal dates, and termination rights
CANDIDATE PROFILE
- Previous experience within a law firm corporate department, corporate services provider, fiduciary/trust company, or in-house legal/corporate administration role
- Good understanding of company secretarial work, corporate governance, and statutory compliance requirements
- Strong organisational skills with the ability to manage multiple priorities and deadlines effectively
- Excellent attention to detail and professional communication skills
- Strong command of English, both written and verbal
- Good working knowledge of Microsoft Office
- Ability to work independently, take initiative, and remain solution-oriented
- High level of professionalism, integrity, and discretion
