About The Role
The City of Essex Junction Parks & Recreation Department is seeking a dedicated and friendly Customer Service Specialist to serve as the front-line representative for the department. This vital role involves supporting residents, visitors, and program participants by providing exceptional customer service and ensuring the smooth operation of daily activities. The ideal candidate will possess a positive attitude, strong problem-solving skills, and a genuine desire to assist the public across a variety of needs. The position offers opportunities for independent work within an office environment, including handling customer transactions, answering inquiries, and supporting administrative functions. The role is instrumental in maintaining efficient department operations, managing facility reservations, and facilitating community engagement through recreation programs and events.
Qualifications
The ideal candidate will have a high school diploma or equivalent, complemented by coursework or experience in office procedures and customer service. Candidates with equivalent combinations of education and experience are encouraged to apply. Preferred qualifications include experience in municipal government, parks and recreation, or related fields, along with at least two years of administrative support or recreation programming experience. A valid Vermont driver’s license with a good driving record is required. Additionally, candidates should be willing to obtain American Red Cross First Aid and CPR certification if not already certified. Proficiency in Microsoft Office and familiarity with recreation software systems such as RecTrac are advantageous. The role requires strong communication skills, attention to detail, and the ability to work independently while exercising sound judgment.
Responsibilities
- Provide high-quality customer service in person, over the phone, and via email, addressing inquiries and resolving issues efficiently.
- Assist with program and event registrations, facility passes, memberships, and related transactions.
- Help customers navigate online registration systems, household accounts, and manage account updates.
- Process daily financial transactions, receipts, and postal mail with accuracy and attention to detail.
- Maintain accurate records and support administrative functions across the department.
- Collaborate with the Business Coordinator to balance receipts and support financial tracking efforts.
- Assist with updating recreation software, managing program listings, and setting up registrations.
- Manage facility schedules, support reservations, and coordinate usage to optimize resource utilization.
- Serve as a point of contact for vendors and contractors related to park and facility needs.
- Communicate effectively with internal departments, staff, and the public to ensure seamless coordination of activities and services.
- Provide backup support for Business Coordinator duties as needed, ensuring continuous department operations.
