Key Responsibilities
- Document Control
- Manage the Company's document management system (DMS).
- Receive, register, classify, and archive all company documents.
- Maintain document numbering, version control, and revision history.
- Ensure only current approved documents are available for use.
- Remove and archive obsolete documents in accordance with company procedures.
- Records Management
- Maintain both electronic and physical filing systems.
- Ensure proper retention, storage, and disposal of records based on the Company's retention schedule.
- Safeguard confidential and sensitive company information.
- Conduct periodic document inventory and reconciliation.
- Document Distribution
- Distribute approved documents to relevant departments.
- Monitor acknowledgment and implementation of revised documents.
- Maintain document distribution logs.
- Control access permissions based on document confidentiality.
- Compliance
- Ensure document management practices comply with:
- Company policies
- Regulatory requirements
- Quality management standards (e.g., ISO 9001)
- Information security requirements
- Support internal and external audits by providing required documentation.
- Quality Assurance
- Verify documents for completeness, formatting, and approval before issuance.
- Monitor document review and expiry dates.
- Coordinate periodic reviews of policies, procedures, and forms.
- Ensure standardized document templates are used across the organization.
- Digital Document Management
- Upload and organize documents within the electronic document management system (EDMS).
- Maintain folder structures, metadata, and indexing.
- Perform regular backups in coordination with the IT Department.
- Support system users with document retrieval and filing.
- Coordination
- Coordinate with all departments to ensure timely submission and approval of documents.
- Liaise with Legal, HR, Finance, Operations, and Quality teams regarding document requirements.
- Support company projects by maintaining project documentation.
- Reporting
- Prepare monthly reports on:
- Documents issued
- Documents revised
- Overdue document reviews
- Archived records
- Document retrieval requests
- Report document control issues and recommend improvements.
Qualifications
- Bachelor’s degree in business administration, Information Management, Library Science, Records Management, or a related field.
- Professional certification in Document Control, Records Management, or ISO standards is an advantage.
Experience
- 4–6 years of experience in document control, records management, or document administration.
- Experience using Electronic Document Management Systems (EDMS).
