We are seeking a highly organized and proactive Executive Assistant to support our CEO. The ideal candidate will manage a wide range of administrative tasks, from scheduling and coordination to handling personal errands. This role demands excellent communication skills, a high level of professionalism, and the ability to work under pressure in a fast-paced environment.

Requirements:

  • Minimum of 3 years of experience in an executive support role.
  • Excellent command of both English and Arabic, fluency in writing and speaking.
  • Valid driver’s license and a car; willingness to run errands as needed.
  • Ability to work long hours and remain on call for urgent tasks, demonstrating strong dedication and work ethic.
  • Proficient in Microsoft Office Suite, Google Suite, and other relevant software tools.
  • Excellent organizational, problem-solving, and analytical skills, including the ability to pass a reasoning and problem-solving exam.
  • Ability to handle sensitive information with the highest degree of integrity and confidentiality.

Roles & Responsibilities:

  1. Meeting Coordination:
  • Attend all meetings with the CEO, take comprehensive notes, and manage follow-up tasks and calendar events.
  • Arrange meeting schedules, including selecting optimal dates, times, and locations based on priority and the type of meeting.
  1. Administrative and Legal Support:
  • Act as a liaison between the CEO and various internal departments and external entities, including company governance and legal teams.
  • Manage administrative tasks related to legal dealings in coordination with attorneys and other legal professionals.
  1. Office Management:
  • Oversee office improvements and maintenance efforts to ensure a productive work environment.
  • Source and manage relationships with vendors and research new technologies and tools to enhance office efficiency.
  1. Personal Assistant Duties:
  • Handle personal errands for the CEO, including government and family-related tasks, receiving shipments, and arranging meals and travel.
  • Manage personal purchases and reservations effectively, with the use of a company credit card.
  1. Stakeholder Relations:
  • Represent designated board members in meetings as required and maintain relationships with investors.
  • Prepare documentation and perform a thorough review of all materials before they are signed by the CEO.
  1. Project and Task Management:
  • Arrange critical office visits and ensure that all projects and tasks are followed up on, ensuring timely completion to meet deadlines.
