AccessAbility Officer helps organizations build accessible digital experiences through accessibility consulting, training, software, and managed services. We are a fast-growing small company (just over 20 employees) serving government agencies, businesses, and organizations committed to creating inclusive digital experiences for people with disabilities.

We are looking for a highly organized, proactive, and detail-oriented Executive Assistant who thrives in a fast-moving environment and enjoys wearing multiple hats. This is not a traditional administrative assistant role. You will serve as the CEO's right hand, helping keep the business running smoothly while supporting critical operational, financial, administrative, and executive functions.

What You'll Do

Executive Support

Manage and monitor the CEO's email inbox, helping prioritize communications and draft responses.

Coordinate meetings, calendars, follow-ups, and action items.

Track priorities, deadlines, and ongoing projects.

Assist with research, reporting, and special projects.

Serve as a trusted partner to the CEO on day-to-day business operations.

Operations & Administration

Manage employee and contractor timesheets.

Coordinate payroll processing.

Generate and send customer invoices.

Monitor accounts receivable and assist with collections follow-up.

Maintain organized digital files and records.

Support recurring weekly, biweekly, monthly, quarterly, and annual business processes.

Technology & Business Systems

Work within Microsoft 365 including Word, Excel, PowerPoint, Teams, OneDrive, SharePoint

Support bookkeeping and financial administration using QuickBooks Online.

Manage and update projects and workflows in Asana.

Maintain CRM records and reporting in Pipedrive.

Format proposals, and presentations, editing for professionalism, consistency, and visual presentation.

Able to maintain confidentiality and exercise good judgment.

Comfortable learning new software and business processes quickly.

Requirements

3+ years of experience as an Executive Assistant, Operations Coordinator, Office Manager, Administrative Manager, or similar role.

Strong proficiency with Microsoft Office and Microsoft 365 applications.

Experience using QuickBooks Online.

Experience with project management software such as Asana.

Excellent organizational, communication, and follow-up skills.

Bonus Qualifications

Experience supporting a founder, CEO, or executive leadership team.

$60,000-$70,000 annually

Competitive salary based on experience.

Fully remote work environment.
