We are looking for a highly organized and proactive Executive Assistant to keep our executive team running at full speed. In this role, you'll be the operational backbone of a fast moving firm where no two days look the same. From managing complex executive calendars and coordinating travel to handling bookkeeping, supporting event planning, and occasionally making runs to the State House, you'll be the person our team relies on to make sure nothing falls through the cracks. Responsibilities

  • Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace. Manage complex scheduling, prioritizing emails, and handling appointment requests, and events with precision.
  • Being willing to commute to the downtown Columbus office in Short North.
  • Travel Coordination involving organizing detailed itineraries, flights, lodging, and logistics
  • Provide executive administrative support including email correspondence, phone etiquette, and document proofreading.
  • Coordinate and assist with event planning for company functions, meetings, and client engagements.
  • Handle bookkeeping and invoicing tasks utilizing QuickBooks and perform data entry to ensure accurate financial records.
  • Support project coordination efforts by tracking deadlines, preparing reports, and facilitating communication between departments.
  • Manage office operations including filing, maintaining organized records through efficient filing systems.
  • Utilize multi-line phone systems for incoming calls, directing inquiries appropriately while providing excellent customer service.
  • Prepare transcription of meetings or notes as needed using office software tools such as Microsoft Office.
  • Assist with personal tasks for executives as required, acting as a reliable personal assistant to enhance productivity. Occasional travel for errands and travel to State House.
  • Maintain strict confidentiality and handle sensitive information with diligence.

Experience

  • 2-3 years of proven experience in an executive administrative or personal assistant role with a strong background in office management.
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry systems. Along with virtual meeting tools.
  • Experience with bookkeeping software such as QuickBooks and familiarity with basic bookkeeping principles.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Excellent typing speed along with proofreading and transcription skills to ensure accuracy of documents.
  • Prior experience managing calendars using Microsoft Outlook Calendar or similar scheduling tools.
  • Knowledge of event planning logistics and project coordination processes is preferred.
  • Exceptional phone etiquette and customer service skills to handle inquiries professionally across multi-line phone systems.
