About The Role
GST is seeking an experienced Administrative Assistant to join our team supporting the National Oceanic & Atmospheric Administration (NOAA) Satellite Service (NESDIS). This role is vital in providing high-level administrative support to senior leadership within NESDIS, based at the headquarters in Silver Spring, MD. The position offers a hybrid work schedule, balancing on-site and remote work to ensure flexibility and efficiency. The successful candidate will be responsible for managing a wide array of administrative functions, including schedule management, travel coordination, document preparation, and interagency communication. This role requires a proactive, detail-oriented individual who can effectively liaise across multiple teams and external partners to ensure seamless operations and support for critical NOAA initiatives.
Qualifications
- Bachelor’s degree in business, finance, human resources, organizational management, or related field, or relevant experience and skills in lieu of formal education
- Four to eight years of experience in administration, planning, documentation, coordination, and meeting planning
- Proficiency in computer administrative and financial applications/tools, including Google Workspace and Microsoft Office Suite; familiarity with SmartSheet is a plus
- Strong interpersonal and communication skills, with the ability to convey information clearly and professionally
- Excellent analytical skills and a self-starter attitude capable of managing multiple priorities
- Proven experience in preparing briefing materials, status reports, and project documentation
- Ability to quickly learn new tools and software applications
- Applicants must be eligible to undergo a government background investigation
Responsibilities
- Prepare, document, consolidate, and deliver meeting presentations, briefing materials, and documentation
- Develop and support administrative planning processes to facilitate project and organizational objectives
- Implement and maintain schedules and plans for project leadership, ensuring timely execution of tasks
- Prepare and present status reports, summaries, and updates for leadership review
- Identify potential risks or issues and recommend appropriate solutions or mitigation strategies
- Assist in developing project management templates, guidelines, and documentation standards
- Verify the delivery and accuracy of project documentation, action items, and contractual documentation such as Technical Task Agreements
- Maintain comprehensive documentation including policy documents, process manuals, and strategic plans
- Coordinate travel arrangements, property management, and front office activities to support operational needs
- Act as a liaison between NESDIS branches, NOAA, interagency, and international partners to facilitate effective communication and collaboration
