Salary: Starting at $58,000 annually

Position Description

The Executive Assistant provides high-level administrative and project support to the Executive and Leadership functions at the Boston Bar Association/Foundation, with a focus on leadership-level meetings, governance processes, development and fundraising, and government relations and public policy work. This role reports directly to the Executive Director and serves as a key operational resource for the organization's executive, governance, and development functions.

The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple concurrent priorities in a fast-paced environment. This role requires strong analytical and writing skills, exceptional discretion, intellectual curiosity, flexibility, and the ability to communicate clearly with volunteer leadership, senior staff, and members of the BBA community.

Core Responsibilities

Executive & Leadership Support

  • Perform all administrative duties, scheduling, record-keeping, and support related to BBA and BBF executive leadership-level meetings, functions, and processes (e.g., BBA Council; BBF Board of Trustees; BBA and BBF Executive and BBA Amicus Committee), task forces, and ad hoc committees, as well as external meetings and appointments.
  • Schedule and prepare materials and presentations for BBA and BBF leadership-level meetings.
  • Conduct research and writing tasks supporting BBA and BBF projects, programs, task forces, and initiatives designated by the Executive Director.
  • Support BBA and BBF board orientation, strategic planning, and other leadership functions and events.
  • Attend and take minutes at BBA Council and BBF Board of Trustees meetings, and at other meetings, as required.

Government Relations & Public Policy Support

  • Assist with monitoring state and federal developments related to BBA public policy. 
  • Track the schedule for the approval process for amicus briefs, Section comments, and other public policy positions moving through the Executive Committee and Council.

Development & Fundraising Support

  • Support the administration of Fellows programs by tracking participant information, preparing materials, and assisting with meeting logistics and communications.
  • Process routine mailings, run standard reports, and perform data entry and basic database maintenance to help keep organizational records accurate and current.
  • Provide other donor stewardship support as needed. 

General Administrative Tasks

  • Provide ongoing administrative support for policy and board-level work, including drafting correspondence, data entry, photocopying, scanning, and maintaining filing systems.
  • Support other BBA and BBF programs and events, as assigned.
  • Other duties as assigned by the Executive Director and COO/AED.

Qualifications

Required

  • Bachelor's degree and 1-2 years of experience in executive support, administrative operations, or related field.
  • Exceptional communication, writing, and interpersonal skills.
  • Strong analytical, organizational, and project and time-management skills.
  • Superb attention to detail.
  • Ability to manage multiple projects independently.
  • Ability to interact effectively with volunteer leadership and senior staff.
  • Proficiency in Microsoft Office. Experience working with Salesforce and Zoom preferred.

Preferred

  • Interest in non-profit organizations, public policy, the law, community service, and access to justice issues.
