Job Overview
- We are seeking a highly experienced Executive Assistant to provide executive-level administrative support to the Office of the President & CEO and Core Leadership Team (CLT).
- This role requires a professional who can operate with high discretion, strong judgment, and initiative while managing multiple priorities in a fast-paced environment. You will play a key role in ensuring seamless coordination of executive activities, communications, and projects.
Key Responsibilities
- Provide high-level administrative support to the President & CEO and CLT members
- Manage complex calendars, scheduling meetings, and coordinating executive priorities
- Arrange and coordinate travel, itineraries, and logistics
- Support project management and organizational initiatives
- Maintain confidentiality while handling sensitive information
- Prepare, proofread, and edit documents, presentations, and communications
- Coordinate board meetings, events, and executive-level activities
- Serve as a liaison between executives, internal teams, and external stakeholders
- Troubleshoot basic technical issues (VPN, Zoom, Microsoft tools, DocuSign)
- Collaborate with internal administrative teams to ensure smooth operations
Required Qualifications
- High School Diploma or GED
- 10+ years of executive administrative experience
- At least 5+ years supporting C-suite executives (CEO/President level)
- Proven ability to manage multiple priorities and adapt quickly
- Strong experience managing Outlook calendars, meetings, and travel coordination
- Advanced proficiency in:
- Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams)
- Zoom
- DocuSign
- Exceptional organizational and attention to detail skills
- Excellent written and verbal communication skills
- Experience planning and coordinating executive events and board meetings
- Ability to work in a fast-paced, high-pressure environment with minimal supervision
Preferred Qualifications
- Bachelor’s degree in Business or related field
- Experience in a healthcare environment
- Knowledge of government programs (VA, Military Health System)
- Military background or prior service (a plus)
- Experience working in a high-profile or executive environment
