We are seeking a highly capable, detail-oriented Executive Assistant to work directly with the CEO, supporting executive operations, communications, contracts coordination, and organizational follow-through in a fast-paced, high-impact environment.

This role requires exceptional organization, communication, discretion, and attention to detail. The ideal candidate must be highly reliable, proactive, and capable of managing multiple priorities while maintaining accuracy and consistency.

You will support executive operations involving contracts, documentation, communications, scheduling, follow-ups, and coordination with high-level stakeholders and partners.

Role Overview

As Executive Assistant to the CEO, you will play a critical role in maintaining organization, continuity, and follow-through across executive priorities and operational processes.

This position requires someone who is:

•     Extremely organized and detail-oriented

•     Strong in both written and verbal communication

•     Comfortable handling sensitive information

•     Capable of managing multiple moving parts simultaneously

•     Able to maintain structured tracking and documentation processes

A significant portion of the role involves executive communication, contracts coordination, document preparation, tracking deadlines, and supporting applications and submission processes.

Key Responsibilities

•     Provide direct executive support to the CEO across operational and administrative priorities

•     Manage calendars, meetings, scheduling, and executive logistics

•     Maintain organized tracking systems for contracts, submissions, deadlines, and follow-ups

•     Prepare, review, organize, and maintain contracts and related documentation

•     Assist with forms, applications, submissions, and participation processes for proposals, bids, and competitive opportunities

•     Coordinate communications and follow-ups with internal teams and external stakeholders

•     Draft professional emails, correspondence, reports, and executive documents

•     Support document management, filing systems, and operational organization

•     Track action items and ensure timely follow-through across multiple initiatives

•     Assist with spreadsheets, presentations, and reporting materials

•     Support financial and operational administration as needed

•     Leverage tools such as Microsoft Office, QuickBooks, and AI tools (e.g., ChatGPT) to improve efficiency and organization

Qualifications

•     Fluency in both English and Spanish required

•     Exceptional written and verbal communication skills in both languages

•     Strong experience with professional writing, executive correspondence, and document preparation

•     High level of organization and attention to detail

•     Experience managing contracts, forms, applications, or administrative documentation

•     Ability to manage multiple priorities with accuracy and consistency

•     Strong follow-up and tracking skills

•     Ability to handle sensitive and confidential information with professionalism

•     Proficiency in Microsoft Office (Excel, Word, PowerPoint)

•     Experience with QuickBooks is required

•     Experience supporting executives or working in fast-paced professional environments preferred

Work Environment

Full-time, in-office role based in Miami, Florida.

Compensation

Annual compensation range: US$70,000 – US$90,000, based on experience and qualifications.
