Position Overview

GISI CG is searching for a dynamic and highly skilled Executive Operations Associate to provide strategic and operational support to the CEO, Chief of Staff, and Executive Leadership Team. In this critical role, you will ensure seamless coordination of Executive Office activities and act as a trusted advisor, driving organization, communication, and flawless execution of executive priorities and leadership initiatives. Your contributions will be pivotal to the efficiency and success of GISI CG’s executive leadership.

The ideal candidate will bring exceptional professionalism, absolute discretion, and the proven ability to exercise independent judgment in a fast-paced, ever-evolving environment. As Executive Operations Associate, you will oversee all aspects of administrative, logistical, and operational support—empowering the Executive Office to operate at peak effectiveness and fostering meaningful engagement between executive leadership and both internal and external stakeholders.

Key responsibilities include creating engaging executive presentations and communications, orchestrating executive leadership and board meetings, and serving as a critical link between the Executive Office and all departments. Success in this role requires a commanding executive presence, sound judgment, proactive problem-solving abilities, meticulous attention to detail, and the capacity to anticipate needs, adapt to ambiguity, and independently prioritize executive matters in a high-performance setting.

The successful candidate will be energized by wearing multiple hats and thrive in a nimble, fast-paced environment, demonstrating flexibility and eagerness to embrace new challenges as they arise.

Location

This role is based in Park City, Utah with the expectation to work in an office environment up to 3-4 days per week when the CEO is in town. The ability to work virtually when needed and the flexibility to provide after-hours support (either for an event or travel assistance) is required.

Reporting

  • This role will report directly to the GISI CG Chief of Staff, while also responding to direct requests from the CEO

Job Duties / Responsibilities

Executive Office Operations

  • Provide strategic operational and administrative coordination to the CEO and Chief of Staff
  • Assist in monitoring and advancing leadership priorities and ensuring timely follow-through on key initiatives led by leadership
  • Lead planning and flawless execution of company meetings and events, including executive leadership sessions, All Hands meetings, board meetings, and retreats
  • Draft and refine executive communications on behalf of the CEO and Chief of Staff, including memos, emails, and presentations.
  • Assist with data synthesis, analysis and reporting, and special projects as directed
  • Design, implement, and maintain structured organizational systems for the executive office, including digital filing architecture, shared document management, action tracking, and meeting preparation workflows
  • Exercise discretion and independent judgment in prioritizing executive matters and coordinating executive office activities

Calendar and Travel Management

  • Oversee and manage complex international and domestic travel, including flights, accommodations, visas, transportation, and security requirements
  • Prepare and distribute comprehensive daily itineraries and briefing materials
  • Anticipate executive needs and evaluate and resolve competing scheduling priorities proactively
  • Demonstrate agility in managing last-minute changes and shifting priorities
  • Optimize the executives’ dynamic calendar, prioritizing engagements based on business impact and executive objectives and ensuring seamless coordination across multiple time zones
  • Coordinate complex scheduling with internal leadership, external stakeholders, and international counterparts

Executive Office Operations

  • Manage operational coordination for the Executive Office, including maintaining records, ordering supplies, coordinating vendors, managing guest registration, and liaising with building management as needed
  • Develop and maintain processes and systems that support efficient Executive Office operations and information management
  • Advanced Microsoft Office & Presentation Support
  • Provide expert support with Microsoft Word, Excel, and PowerPoint for document creation, data analysis, and presentation development
  • Draft correspondence, reports, spreadsheets, and analytical materials to support executive activities
  • Coordinate with internal IT application resources or services providers to resolve technical issues for executives

Other Duties

  • Manage financial record-keeping, including expense tracking, invoice review, and processing for executive approval
  • Design and maintain comprehensive, highly organized digital and physical filing systems to ensure efficient information access and workflow continuity within the executive office
  • Serve as the primary liaison with external IT support to ensure office systems and equipment remain secure and fully operational
  • Coordinate cross-functional initiatives and special projects on behalf of the Executive Office as directed by the CEO or Chief of Staff

Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, Communications or a related field
  • Minimum 7 to 9 years of direct experience supporting executive leaders in fast-paced, high-performance environments
  • Proven ability to manage multiple priorities, anticipate needs, and adapt proactively to rapidly changing demands
  • Superior written and verbal communication skills, with a polished presence when interacting with senior executives, and external stakeholders
  • Demonstrated resourcefulness and initiative in problem-solving, with a focus on continuous improvement of processes and efficiency
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Teams, and related applications
  • Unwavering integrity and commitment to upholding the highest standards of confidentiality
  • Prior experience in a global organization is strongly preferred
