Responsibilities:

Reporting directly to CEO; Executive Secretary is responsible for supporting high-level management. Provides administrative support and performs numerous duties, including scheduling, writing correspondence, emailing, handling visitors, routing callers, and answering questions and requests. Other duties include secretarial / administrative support.

  1. To provide comprehensive secretarial and administrative support, deal with work of a highly confidential nature and plan proactively in ensuring efficient time management.
  2. Effectively schedule and co-ordinate meetings in an accurate and flexible manner. Monitor and manage CEO's appointments, calendar & upcoming commitments to ensure CEO's schedule is effectively organized.
  3. To ensure the CEO is well-prepared for meetings producing documents, briefing papers, reports and presentations before the meeting.
  4. To ensure efficient and effective operation and keeping good rapport with external Clients/ Minister Office/ government bodies.
  5. To ensure all data and information are screened, prioritized and dealt with efficiently as to ensure that all deadlines are met.
  6. To handle highly private and confidential matters for CEO's and to manage flow in terms of prioritize task.
  7. Relay directives, instructions and assignment to SMT Members.
  8. Assist in preparing slides and presentations
  9. Coordinate travel arrangements; prepares itineraries and manage travel and schedule.
  10. Assisted to organize company and community events as and when is needed.
  11. Other ad-hoc matters/ other responsibilities as required.

Requirements:

  1. Candidate must possess at least a Professional Certificate or Diploma in Secretarial, Business Administration, Management or equivalent.
  2. Solid hands on working experience relevant to the role requirements.
