The Executive Secretary is responsible for providing sophisticated administrative and operational support to senior leadership, typically at the C-suite level. The successful candidate will act as the primary liaison between executive management, internal departments, clients, stakeholders, and external partners. This role demands the highest level of professionalism, confidentiality, sound judgment, and attention to detail.

Key Responsibilities

Executive Support & Calendar Management

  • Manage and optimize the executive's calendar, including meetings, appointments, events, board meetings, and critical deadlines.
  • Proactively coordinate schedules to balance strategic priorities and operational requirements.
  • Ensure executives are fully prepared for meetings with relevant documents and briefing materials.

Communication & Correspondence

  • Draft, edit, and manage high-level correspondence, emails, reports, presentations, and official letters with professionalism and accuracy.
  • Screen and prioritize incoming communications, ensuring urgent matters receive prompt attention.
  • Maintain effective communication with senior staff, board members, clients, and external stakeholders.

Meeting & Event Coordination

  • Organize executive meetings, board sessions, and strategic discussions, including preparing agendas, recording minutes, and tracking action items.
  • Coordinate logistics for corporate events, conferences, executive travel, and off-site meetings.

Travel & Logistics Management

  • Plan and manage travel arrangements, including visas, international itineraries, transportation, accommodations, and related logistics.
  • Prepare detailed travel briefs and manage expense reporting and reconciliations.

Document & Records Management

  • Maintain and archive confidential executive records and organizational documents.
  • Ensure document control practices comply with corporate governance and organizational standards.

Qualifications & Requirements

  • Proven experience as an Executive Secretary, Executive Assistant, or in a similar senior administrative role.
  • Fluent in both English and Arabic (spoken and written).
  • Excellent business writing skills in both English and Arabic, including drafting professional letters, official correspondence, reports, and emails.
  • Outstanding organizational and time-management skills.
  • High level of professionalism, discretion, and confidentiality.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and other business productivity tools.
