About the Opportunity
A leading organization is seeking a proactive and detail-oriented Facilities Officer to oversee the day-to-day management of its facilities, ensuring a safe, efficient, and well-maintained working environment. The successful candidate will be responsible for facility operations, maintenance coordination, vendor management, health and safety compliance, and support services across company premises.
Key Responsibilities
Facilities Management & Maintenance
- Oversee preventive and corrective maintenance activities across company facilities.
- Monitor HVAC, electrical, plumbing, and building systems to ensure optimal performance.
- Coordinate with contractors and service providers to ensure maintenance work is completed according to required standards.
- Manage facility-related service contracts and monitor compliance with contractual obligations.
- Support asset maintenance and facility improvement initiatives.
Health, Safety & Security
- Ensure compliance with health, safety, and security policies and procedures.
- Monitor access control systems, surveillance systems, and security measures.
- Coordinate with relevant authorities and service providers regarding fire safety and emergency preparedness requirements.
- Support emergency response plans, evacuation procedures, and facility readiness assessments.
Support Services Management
- Supervise cleaning, hospitality, and mail/courier services.
- Monitor service quality and resolve operational issues in a timely manner.
- Coordinate with internal departments to address facility-related requirements and requests.
Vendor & Contract Management
- Obtain and evaluate quotations from vendors and service providers.
- Monitor vendor performance and ensure agreed service levels are consistently achieved.
- Assist in contract administration and service provider relationship management.
Reporting & Compliance
- Prepare periodic reports related to facility operations, maintenance activities, and operational expenditures.
- Ensure adherence to company policies, procedures, and regulatory requirements.
- Identify opportunities to improve operational efficiency and optimize costs.
Qualifications
- Diploma or Bachelor's degree in Engineering or a related field.
- Professional certifications in Facilities Management, Occupational Health & Safety, or related disciplines are preferred.
- Good command of English is preferred.
Experience
- 3–5 years of experience in Facilities Management, Building Operations, or Administrative Services.
- Experience managing maintenance contracts and outsourced service providers.
- Good knowledge of health & safety regulations, security systems, and asset management practices.
Skills & Competencies
- Strong planning, organization, and coordination skills.
- Ability to manage vendors, contractors, and service agreements effectively.
- Excellent communication and stakeholder management skills.
- Strong problem-solving and decision-making abilities.
- Proficiency in Microsoft Office applications and facilities management systems.
