Function:
We are seeking proactive, detail-oriented Shipping Lines and Clearing Manager to manage and coordinate our warehouse teams, ensuring seamless execution of import and export transport operations.
Key responsibilities:
Clearing responsibilities
● Ensure the availability of required resources, including IT infrastructure and adequate staffing, to manage expected transit volumes.
● Monitor pre-alerts and raise queries within 6 hours of receipt.
● Oversee the timely preparation and submission of customs entries and ensure assessment documents are shared with the border team promptly.
● Ensure BT declarations are completed immediately upon truck arrival at the border.
● Maintain and regularly update the RIT tracking sheet with accurate and relevant data.
● Coordinate with the border team to conduct carry-out procedures and guide drivers through all customs checkpoints along the route.
● Ensure CFS (Container Freight Station) carry-in procedures are completed in accordance with established protocols.
● Respond promptly to all queries or issues related to RIT clearance.
● Monitor and manage sea freight bookings to align with shipment schedules.
● Proactively communicate any potential challenges or delays related to booking timelines and port schedules.
● Coordinate the collection of equipment from shipping line depots.
● Ensure all customs documentation is prepared accurately and submitted on time.
● Confirm vessel engagement deadline aligns with the booking schedule.
● Verify correctness of port dues and wharfage charges in line with applicable tariffs.
● Secure export booking slips and gate-in tickets in a timely manner.
● Monitor shipment gate-in procedure including customs check-in and completeness of scanner reports.
● Keep export reports and internal databases updated with complete and accurate information.
● Submit bond cancellation files to Customs Main Quay promptly after cargo is delivered to the port.
● Respond promptly to all matters related to export clearance
● For import shipments, ensure documentation pre-alert and proceed to pre-clearance before vessel arrival.
● Ensure good relationship with ICD regarding Imports.
Shipping Line Responsibilities
● Ensure all team members are following up properly their client portfolio and their bookings
● Ensure empties are delivered timely
● Ensure shipment process can be done on time to avoid any roll-over
● Pushing depots and shipping for empty release if needed
● Ensure KPI expectations are met and no booking rolled over because of lack of equipment
● Communicate and assess properly and timely any challenges and any steps in the process to Shipping Lines, Depots, Booking parties – if any, and clients.
● Reporting timely to his N+1
● Escalating if any challenge is facing
