Job Summary

The Medical Mission Project Coordinator supports the planning, coordination, and execution of medical outreach and mission projects across various locations in the Philippines, including remote and underserved communities.

This is a fully onsite role that requires active fieldwork, operational coordination, and regular travel to project sites. Office work is based in Mandaluyong City, and candidates must be based in or near Mandaluyong, Makati, San Juan, Pasig, or Bonifacio Global City (BGC) for accessibility and operational responsiveness.

The Project Coordinator works closely with the Project Manager, medical teams, partners, vendors, local government units, and community stakeholders to ensure missions are well-organized, efficient, and properly executed. The role requires strong organizational ability, resilience, and hands-on involvement in fast-paced field environments.

Key Responsibilities

Project Coordination & Logistics

  • Assist in planning and coordinating medical mission projects from preparation through post-mission activities
  • Help develop project schedules, operational checklists, and coordination timelines
  • Coordinate logistics including transportation, accommodations, supplies, equipment, and site preparation
  • Assist with site inspections and coordination meetings with local stakeholders and partners
  • Ensure all operational requirements and materials are prepared before deployment
  • Support warehouse preparation, packing, inventory tracking, and deployment logistics

Team & Volunteer Coordination

  • Coordinate schedules of medical and non-medical volunteers
  • Assist in onboarding, orientation, and deployment preparation of mission personnel
  • Serve as a coordination point between field teams and headquarters operations
  • Monitor attendance, assignments, and team movement during missions
  • Support field supervisors in maintaining organization, discipline, and operational flow onsite
  • Assist in resolving coordination and logistical issues during outreach activities

Operational Support

  • Support onsite mission operations and ensure smooth execution of activities
  • Coordinate with suppliers, transport providers, local healthcare facilities, and partner organizations
  • Help monitor crowd flow, patient coordination, and activity timelines during missions
  • Ensure medical supplies and equipment are properly organized, transported, and accounted for
  • Escalate operational issues and assist in implementing immediate solutions onsite
  • Support compliance with safety protocols and operational procedures

Stakeholder & Community Coordination

  • Coordinate with local government units, barangay officials, NGOs, hospitals, and community representatives
  • Assist in preparing coordination letters, reports, and operational updates
  • Maintain professional relationships with partners, sponsors, and stakeholders
  • Help facilitate clear communication between internal teams and external partners

Monitoring, Documentation & Reporting

  • Maintain accurate records, attendance sheets, inventory logs, and mission documentation
  • Assist in tracking project progress and operational concerns
  • Prepare post-mission summaries and operational reports
  • Assist in post-activity evaluations and feedback collection

Budget & Administrative Support

  • Assist in monitoring operational expenses and logistical resource usage
  • Support procurement coordination and documentation processes
  • Help ensure proper filing of operational and compliance records
  • Assist in identifying practical cost-efficient operational solutions

Required Qualifications

  • Bachelor’s degree in Public Health, Healthcare Administration, Nursing, Community Development, Project Management, or a related field preferred
  • Proven experience in project coordination, field operations, or community-based programs
  • Prior experience coordinating or supporting medical missions, medical outreach programs, or humanitarian health activities is strongly required or highly preferred
  • Experience working with medical teams, NGOs, local government units, or healthcare institutions is an advantage
  • Strong background in logistics coordination, volunteer management, or field deployment operations is highly preferred
  • Strong organizational, communication, and coordination skills
  • Ability to work effectively in fast-paced, field-based environments

Additional Requirements

  • Fully onsite role with regular physical presence required during preparation, coordination, and field operations
  • Willingness to travel frequently for out-of-town medical missions and site deployments within the Philippines
  • Comfortable working in remote, provincial, or resource-limited areas when required
  • Flexible with work hours, including weekends and holidays depending on mission schedules
  • Able to work under pressure and adapt to rapidly changing operational conditions
  • Comfortable handling field coordination, operational escalations, and fast-paced environments
  • Physically capable of assisting in logistics and field deployment activities
  • CPR/First Aid certification (or willingness to obtain) is an advantage
