Job Summary:

The HR Associate supports the Human Resources department in maintaining employee records, processing documentation, assisting with recruitment, handling employee relations, and ensuring compliance with company policies and labor laws. This role plays a crucial part in ensuring smooth HR operations and providing support to employees and management.

Key Responsibilities:

1. Employee Records and Reporting

  • Maintain and update accurate employee records, including personal information, compensation, attendance, leave, and performance evaluations.
  • Prepare and submit comprehensive reports on leave balances, overtime, and attendance trends.
  • Ensure confidentiality and compliance with data protection regulations when handling employee information.

2. Employee Relations and Compliance

  • Assist in drafting disciplinary documents such as Notice to Explain (NTE), Notice of Decision (NOD), and other employee communications.
  • Ensure proper documentation of disciplinary actions and coordinate with employees and management regarding compliance with labor laws.
  • Support in handling employee concerns and grievances in coordination with the HR Manager.
  • Assist in implementing and monitoring company policies and procedures.

3. Recruitment and Onboarding

  • Assist in sourcing, screening, and shortlisting candidates for open positions.
  • Schedule interviews and coordinate with hiring managers regarding candidate selection.
  • Conduct pre-employment requirements processing and ensure timely submission of necessary documents.
  • Facilitate new hire orientation sessions, explaining company policies, benefits, and expectations.

4. Payroll and Benefits Administration

  • Assist in payroll processing by validating attendance, overtime, and leave records.
  • Handle employee inquiries regarding salary, deductions, benefits, and government contributions (SSS, PhilHealth, Pag-IBIG).
  • Process government-mandated benefits, loans, and contributions in coordination with finance or payroll teams.

5. Training and Development Support

  • Coordinate training schedules, venue, materials, and attendance records.
  • Assist in monitoring employee training compliance and certification renewals.
  • Maintain records of employee learning and development programs.

6. General HR and Administrative Support

  • Prepare HR-related correspondence, memorandums, and reports as needed.
  • Organize and maintain physical and digital employee files for easy retrieval.
  • Support HR events, employee engagement activities, and wellness programs.
  • Assist in audits and compliance checks related to labor laws and company policies.

Qualifications:

  • Bachelor’s degree in Human Resources, Psychology, or a related field.
  • At least 1-2 years of experience in HR or administrative support is preferred.
  • Strong attention to detail and organizational skills.
  • Excellent communication and interpersonal skills.
  • Knowledge of labor laws, company policies, and HR best practices.
  • Proficiency in MS Office (Excel, Word, PowerPoint) and HRIS is an advantage.
  • Ability to handle confidential information with discretion.
