Position Overview

The Intake Specialist position is located in the downtown Chicago Office (115 S. LaSalle Street, Chicago, IL). The role reports to the Intake Manager and is responsible for intake functions on mail, email, and online complaint applications received by the Department of Labor (DOL). The candidate should be a hard‑working, communicative team player who can manage multiple tasks in a fast‑paced environment.

Essential Functions

  • Perform intake functions on mail, email, and online complaint applications received by the Department of Labor (DOL).
  • Review complaints for jurisdiction, completeness, and correctness.
  • Answer multiple telephone lines for the Fair Labor Standards Division (including minimum wage, overtime, child labor, rest and meal breaks, and wage payment and collection act inquiries).
  • Respond to general inquiries received by Fair Labor Standards via email and in person.
  • Serve as designated backup person for the processing and verification of monies collected by the agency.
  • Assist with other FLS functions as needed, such as review of Child Labor Certificates, review of sub‑minimum wage applications, referral and tracking of cases to the Office of the Attorney General, and more.
  • Perform other duties as required or assigned within the scope of the enumerated functions.

Minimum Qualifications

  • High school completion and at least two years of office experience.
  • Keyboarding accuracy of 45 words per minute.

Preferred Qualifications

  • One year of experience in office methods and procedures (data entry, record‑keeping, document organization, filing, and general office workflow).
  • One year of experience in a customer service role.
  • One year demonstrating advanced writing, composition, grammar, spelling, and punctuation skills.
  • Basic proficiency with Microsoft Office Suite or similar software.

Conditions of Employment

  • Overtime may be required, including scheduled, unscheduled, or last‑minute overtime, and may involve evenings and weekends.
  • The position is considered light work (lifting no more than 20 pounds at a time and frequent lifting of objects weighing up to 10 pounds). The job may require walking, standing, or sitting for extended periods with occasional pushing or pulling of arm or leg controls.
