Cates Law is seeking a personable, highly organized Legal Administrative Assistant (part time) to support the principal attorney in a busy real estate law practice. This role is suited to someone who is self-motivated, detail-oriented, and takes pride in delivering a seamless client experience while keeping day-to-day operations running efficiently.
Responsibilities
- Coordinating client onboarding and gather compliance documentation
- Opening and managing client files (digital and physical)
- Completing online regulatory filings and applications using Government online portal systems (e.g. Permits from the Bahamas Investment Authority, Provisional VAT Invoices from Dept Inland Revenue, applications for payment of VAT, recording deeds in Registry of Records, updating ownership records at Real Property Tax Dept.)
- Preparing standard letters and email correspondence to clients, attorneys, and government departments
- Reliably tracking project timelines from opening of client matter through various time-sensitive milestones, including closing and post-closing attendances
Qualifications
· Excellent written and verbal English communication
· Comfortable using Microsoft 365 (Word, Excel, Outlook), DocuSign, Adobe, and cloud-based data storage systems; generally comfortable with using technology to enhance productivity.
· Strong attention to detail and accuracy
· Highly organized with strong time management skills
· Able to work independently, able to follow through to complete tasks and anticipate needs
· Ability to manage multiple priorities and deadlines
