The ideal candidate will be highly capable of managing and organizing the Executive Vice President’s Office, while efficiently coordinating meetings, preparing meeting minutes, and following up on the implementation of decisions and directives. The candidate should possess strong skills in coordination, follow-up, time management, prioritization, and the preparation of executive reports, presentations, and official correspondence.

The successful candidate will also be able to build effective working relationships with various departments, regional managers, and external stakeholders, while monitoring strategic projects, initiatives, and regulatory obligations. A high level of professionalism, discretion, and confidentiality is essential when handling executive matters and sensitive information.

 

Responsibilities

  • Manage and organize the Executive Vice President’s office, including scheduling appointments, meetings, and daily engagements.
  • Coordinate meetings, prepare meeting minutes, and follow up on the implementation of decisions and directives.
  • Monitor requests and transactions, ensuring their completion, approval, and closure within established timelines.
  • Prepare periodic executive reports, presentations, and official correspondence.
  • Manage incoming and outgoing communications, prioritize matters, and coordinate submissions related to senior management.
  • Liaise with various departments and regional managers to obtain required information and follow up on assignments and performance indicators.
  • Track strategic projects and initiatives, providing regular reports on progress, achievements, and challenges.
  • Organize official visits, meetings, and business trips, and receive VIP guests and representatives of official entities.
  • Follow up on legal matters, regulatory obligations, licenses, and government-related appointments associated with senior management.
  • Maintain and organize confidential documents, contracts, and records related to executive management.
  • Perform any other duties or assignments delegated by the Executive Vice President within the scope of the role.

Qualifications

  • Bachelor’s degree in Business Administration, Public Administration, or a related field.
  • Minimum of 5 years of experience in executive office management.
  • Strong skills in follow-up, coordination, and time management.
  • Proficiency in preparing reports and presentations.
  • Ability to handle confidential information with a high level of professionalism and discretion.
