Role Summary
The Operations Coordinator is responsible for coordinating and monitoring daily field operations across assigned Malaeb spaces, ensuring operational excellence, facility readiness, and compliance with company standards. The role oversees operational inspections, maintenance coordination, and day-to-day execution of site activities while ensuring operational issues are resolved efficiently and escalated when necessary.
The Operations Coordinator serves as the primary point of coordination for field operations, ensuring maintenance requests, inspections, operational observations, and site-related activities are completed accurately, within agreed timelines, and in accordance with company procedures.
Key Responsibilities
Operational Inspections & Site Readiness
- Conduct routine operational visits across assigned Malaeb spaces.
- Perform scheduled and surprise operational inspections.
- Ensure all spaces are operationally ready prior to opening.
- Verify compliance with operational standards, including:
- Cleanliness
- Equipment functionality and readiness
- Health and safety requirements
- Overall facility presentation
- Identify operational issues proactively and escalate where necessary.
- Support operational audits and readiness assessments.
Maintenance Coordination
- Manage the maintenance process from issue identification through to completion.
- Receive, coordinate, and monitor maintenance requests for assigned locations.
- Conduct initial operational assessments and basic troubleshooting.
- Coordinate maintenance activities with vendors, contractors, and internal teams.
- Assign maintenance-related operational tasks to Captains where appropriate.
- Obtain and compare maintenance quotations and escalate recommendations when required.
- Ensure maintenance work is completed within agreed service levels and quality standards.
- Verify completed maintenance work before closure.
- Maintain accurate maintenance documentation, including:
- Before and after photographs
- Completion reports
- Supporting notes
- Cost details where applicable
- Ensure all maintenance activities are accurately updated in ClickUp.
Daily Operations Monitoring
- Monitor daily operational conditions across assigned facilities.
- Monitor Captain attendance and shift compliance.
- Track and report attendance exceptions, including:
- Late arrivals
- Early departures
- Absences
- Missing clock-ins
- Escalate operational and attendance concerns to the Operations Supervisor.
- Identify and communicate shift coverage gaps promptly.
Reporting & Operational Compliance
- Support operational inspections, scorecards, and performance evaluations.
- Document operational observations, non-compliance issues, and improvement opportunities.
- Prepare and submit operational reports accurately and within required timelines.
- Ensure operational records, inspection findings, and follow-up actions are properly documented.
General Responsibilities
- Ensure compliance with company policies, operational procedures, and safety standards.
- Support continuous improvement initiatives across operational activities.
- Perform any other duties as reasonably assigned by the Line Manager or CEO.

Required Qualifications
- Bachelor's degree in Business Administration, Operations Management, Facilities Management, or a related field.
- 2–4 years of experience in operations, facilities coordination, or field operations.
- Experience coordinating maintenance activities and working with external vendors is preferred.
