Portfolio Management
• Serve as the primary point of contact for Trustees, Directors, and Committees.
• Provide professional guidance on the Sectional Titles Schemes Management Act (STSMA), CSOS regulations, governance requirements, and HOA constitutions/MOIs.
• Build and maintain strong relationships with trustees, owners, residents, and service providers.
• Ensure schemes are managed in accordance with applicable legislation and governing documents.
Meeting Management
• Prepare and distribute meeting notices, agendas, and supporting documentation.
• Attend and facilitate Trustee Meetings, Board Meetings, Special General Meetings, and Annual General Meetings.
• Prepare professional meeting minutes and follow up on resolutions and action items.
• Provide governance and procedural guidance during meetings.
Financial Oversight
• Review monthly management packs and financial reports.
• Monitor levy collections, arrears, and debt recovery processes.
• Assist Trustees and Directors with annual budgeting and reserve fund planning.
• Review expenditure, quotations, and financial performance against approved budgets.
Maintenance & Compliance
• Coordinate maintenance projects and service provider activities.
• Obtain and evaluate quotations for repairs and capital projects.
• Monitor compliance with health, safety, insurance, and statutory requirements.
• Ensure schemes maintain required compliance certifications and records.
Administration & Systems
• Manage daily portfolio administration through Urban Property Management systems.
• Ensure all correspondence, records, and governance documentation are maintained accurately.
• Track tasks, resolutions, and project progress effectively.
• Maintain high service standards and response times.
Minimum Requirements
Experience
• Minimum 3–5 years’ experience managing Sectional Title Schemes and/or Homeowners Associations.
• Proven experience in community scheme management, trustee engagement, and governance administration.
Knowledge
• Strong working knowledge of:
o Sectional Titles Schemes Management Act (STSMA)
o CSOS Act and Regulations
o Homeowners Association governance
o Budgeting and financial management within community schemes
Skills
• Excellent verbal and written communication skills.
• Strong conflict resolution and stakeholder management abilities.
• High level of organisational and administrative competence.
• Ability to manage multiple schemes and deadlines simultaneously.
• Strong attention to detail and problem-solving capability.
Language Requirements
• Fully bilingual in English and Afrikaans (spoken and written).
Logistics
• Valid South African driver’s licence.
• Own reliable vehicle.
• Willingness to travel to schemes and attend occasional after-hours meetings.
