As the Foundation expands its reach to multiple municipalities and thousands of children annually, the organization seeks a highly motivated and detail-oriented Programs, Monitoring & Communications Officer to support program implementation, monitoring, documentation, and reporting.

Position Summary

The Programs, Monitoring & Communications Officer will support the effective implementation, monitoring, documentation, and communication of the Foundation's programs. The officer will be responsible for field monitoring, data collection and management, maintaining student and program databases, documenting impact stories, coordinating with stakeholders, and supporting internal and external reporting.

The position serves as a key operational role that ensures high-quality program execution and evidence generation while strengthening organizational learning and visibility.

Key Responsibilities1. Program Monitoring and Field Support

  • Conduct regular field visits to schools, project sites, and partner organizations.
  • Monitor program implementation against approved work plans and objectives.
  • Track program progress, outputs, and key performance indicators.
  • Document observations, challenges, risks, and lessons learned from the field.
  • Support quality assurance processes to ensure programs are implemented as intended.
  • Coordinate with schools, teachers, facilitators, and local partners during monitoring visits.
  • Prepare field monitoring reports and recommendations for program improvement.

2. Data Management and Evaluation Support

  • Maintain and regularly update student, teacher, school, and program databases.
  • Support collection, verification, cleaning, and organization of program data.
  • Assist in baseline, endline, and periodic assessment processes.
  • Develop and maintain tracking systems for program indicators.
  • Generate routine data summaries, dashboards, and analytical reports.
  • Ensure data accuracy, confidentiality, and proper record management.
  • Support evidence-based decision-making through timely data reporting.

3. Documentation and Knowledge Management

  • Develop and maintain organized documentation systems for all projects.
  • Compile project reports, meeting minutes, activity reports, and learning documents.
  • Maintain digital and physical records of project activities.
  • Support the preparation of donor reports, presentations, and organizational briefs.
  • Document best practices, success stories, lessons learned, and case studies.
  • Archive project materials, including photographs, videos, attendance records, and reports.

4. Story Collection and Impact Communication

  • Collect stories of change from students, teachers, parents, schools, and communities.
  • Conduct interviews and gather testimonials from project stakeholders.
  • Capture photographs, videos, and supporting evidence during field visits.
  • Draft human-interest stories, case studies, and impact narratives.
  • Support the development of communication materials for social media, newsletters, reports, and fundraising purposes.
  • Coordinate with the communications team, consultants, or external vendors as required.

5. Stakeholder Coordination

  • Maintain regular communication with schools, teachers, municipal representatives, and project partners.
  • Support coordination of training programs, workshops, meetings, and field events.
  • Follow up on action points arising from meetings and field visits.
  • Facilitate information flow between the field and the Program Department.
  • Represent the Foundation professionally during field engagements.

6. Organizational Learning and Program Improvement

  • Identify implementation challenges and emerging opportunities.
  • Contribute to program review and reflection meetings.
  • Provide operational insights and recommendations based on field realities.
  • Support the Director of Programs in strengthening systems, processes, and program quality.

Qualifications and ExperienceEducation

  • Bachelor's degree in Education, Development Studies, Social Sciences, Management, Public Policy, Communication, Monitoring & Evaluation, or a related field.
  • A master's degree or ongoing graduate studies will be considered an advantage.

Experience

  • Minimum 2 years of relevant professional experience in program implementation, monitoring, education, development, or related sectors.
  • Experience working with schools, municipalities, NGOs, INGOs, or education programs is preferred.
  • Experience in data management and reporting is highly desirable.

Required CompetenciesTechnical Skills

  • Strong report writing and documentation skills.
  • Experience using Microsoft Office Suite, particularly Excel and PowerPoint.
  • Ability to manage databases and large datasets.
  • Basic understanding of monitoring and evaluation concepts.
  • Ability to collect, analyze, and present data effectively.
  • Familiarity with Google Workspace and digital collaboration tools.

Child Safeguarding

The selected candidate must demonstrate a commitment to child safeguarding and protection. Any form of abuse, exploitation, discrimination, or misconduct toward children will not be tolerated and may result in immediate disciplinary action.

Other Duties

The Programs, Monitoring & Communications Officer may be assigned additional responsibilities reasonably related to the role and organizational priorities by the Director of Programs.
