The Projects Assistant provides administrative, coordination, and operational support to the project team in the planning, implementation, and monitoring of assigned projects. The role is ideal for fresh graduates or early-career professionals who are interested in project management, business operations, real estate, construction, or property development. The associate will work closely with internal teams, external partners, and consultants to help ensure projects are completed efficiently and on schedule.
Duties and Responsibilities
1. Project Coordination and Support
- Assist the project team in coordinating day-to-day project activities and requirements.
- Prepare and organize project documents, reports, presentations, and meeting materials.
- Attend meetings and help document minutes, action items, and project updates.
- Monitor project timelines and follow up on pending deliverables with concerned teams.
2. Research and Documentation
- Conduct basic research related to market trends, competitors, project sites, and industry developments.
- Assist in gathering and consolidating data for project studies, reports, and presentations.
- Maintain organized records of project files, permits, contracts, and related documents.
- Support the preparation and updating of project trackers and monitoring tools.
3. Administrative and Operational Assistance
- Coordinate with internal departments, consultants, suppliers, and external partners for project requirements.
- Assist in preparing and submitting documents for permits, approvals, and regulatory requirements.
- Help monitor project expenses, budgets, and administrative processes.
- Support scheduling of meetings, site visits, and project-related activities.
4. Project Monitoring
- Assist in monitoring ongoing projects and tracking progress against schedules and targets.
- Participate in site visits when necessary to support project monitoring activities.
- Prepare regular status updates and reports for the project team.
- Escalate issues or delays to immediate supervisors when necessary.
5. Stakeholder Coordination
- Provide support in coordinating with government agencies, business partners, and community stakeholders.
- Assist in handling project-related inquiries and follow-ups.
- Support team initiatives and other special projects as assigned.
Qualifications
- Bachelor’s/College Degree in Business Administration, Management, Marketing, Economics, Engineering, Real Estate Management, or any related field.
- Open to fresh graduates and candidates with up to 1 year of relevant experience.
- Internship experience in project management, construction, real estate, operations, or administrative work is an advantage.
- Proficient in Microsoft Office applications (Excel, Word, PowerPoint).
- Strong organizational and time management skills.
- Good written and verbal communication skills.
- Detail-oriented, proactive, and willing to learn.
- Ability to work collaboratively in a fast-paced environment.
