Role Overview:
We are seeking a proactive and detail-oriented Project Coordinator to manage and facilitate coordination activities between project sites, head office functions, government authorities, and key stakeholders including King Saud University (KSU) and Riyadh Valley Company (RVC). The role is responsible for following up on project requirements with internal departments, ensuring compliance with authorities' regulations, and maintaining close coordination with KSU and RVC teams to support seamless project execution. This position plays a critical role in accelerating project delivery, resolving bottlenecks, ensuring regulatory compliance, and facilitating effective communication across all project stakeholders.
Key Responsibilities:
Head Office Coordination
- Follow up on all project requests and requirements with different functions in the head office to ensure timely support and delivery.
- Focus on important and urgent material, equipment, and subcontractor requests and facilitate accelerating these with the Procurement Department.
- Ensure coordination with the Technical and Engineering Department to secure timely and accurate availability of shop drawings and other engineering information for smooth execution on site.
- Closely follow up with the Finance Department to ensure all project approved payments are made on time.
- Coordinate with HR, Administration, and other support functions to address project operational needs.
- Prepare and maintain trackers for pending requests, deliverables, and action items across all head office departments.
Authorities Coordination & Compliance
- Maintain deep knowledge of different authorities' requirements and construction-related regulations in Riyadh.
- Plan all authorities' requirements compliance activities, coordinate these with the project team, and ensure timely and accurate compliance.
- Arrange regular coordination and meetings with relevant authorities as needed to prevent any issues or delays.
- Manage permit applications, approvals, inspections, and regulatory submissions.
- Stay updated on changes in construction regulations, municipal requirements, and authority processes.
- Maintain organized records of all authority correspondence, permits, approvals, and compliance documentation.
KSU & RVC Coordination
- Contribute to periodic meetings with King Saud University (KSU) and ensure close coordination with various related engineers in KSU maintenance and project management departments.
- Focus on coordination with the KSU team for construction-related logistics, ensuring smooth operations within the university campus environment.
- Coordinate with KSU on construction-related traffic management to minimize disruption and ensure safety.
- Manage coordination for services tie-in points (temporary and permanent) with KSU infrastructure teams.
- Maintain strong working relationships with KSU and Riyadh Valley Company (RVC) stakeholders to facilitate project progress.
- Prepare meeting minutes, action items, and progress reports for KSU and RVC coordination meetings.
- Anticipate potential coordination challenges and proactively develop solutions to prevent delays.
Project Support & Reporting
- Support the Project Director and project team with day-to-day coordination activities and administrative requirements.
- Prepare regular coordination reports, status updates, and progress summaries for management review.
- Track and escalate outstanding issues, bottlenecks, and risks that may impact project timelines.
- Maintain organized project files, correspondence records, and coordination logs.
- Facilitate internal coordination meetings and ensure follow-up on action items and deliverables.
Qualifications:
- Saudi National (mandatory).
- Bachelor's degree in Engineering or Architecture (mandatory).
- Minimum 3–5 years of experience in buildings construction, with exposure to coordination with government bodies and authorities.
- Active membership with the Saudi Council of Engineers (SCE).
- Excellent Arabic and English communication skills (mandatory).
- Preferably a current employee in Ezdihar Group.
- Strong knowledge of Saudi construction regulations, authority requirements, and permitting processes.
- Experience working on projects involving coordination with universities, government entities, or public sector stakeholders is preferred.
