Al Maha Properties LLC is a Dubai-based real estate company with over 28 years of experience in property management, leasing, and brokerage services. We manage a diverse portfolio of residential, commercial, and industrial properties across Dubai and are seeking an organized and proactive Property Management Administrator to support our growing operations.

Key Responsibilities

• Manage front desk operations and serve as the first point of contact for visitors, tenants, landlords, and clients.

• Handle incoming calls, emails, and enquiries, ensuring prompt and professional communication.

• Manage property listings on Bayut, Dubizzle, company website, and other marketing portals.

• Assign sales leads to agents and maintain accurate lead tracking records.

• Monitor and manage leasing and general enquiry email accounts.

• Provide administrative support to the sales and leasing teams.

• Maintain and update property inventory, availability schedules, and related documentation.

• Coordinate with tenants regarding payments, renewals, documentation, maintenance requests, and follow-ups.

• Prepare NOCs, undertaking letters, warning notices, legal notices, tenancy-related correspondence, and other property management documents.

• Assist with RDC case administration, including filing applications, tracking case progress, monitoring hearings, and attending RDC when required.

• Coordinate with government authorities including DLD, RDC, DEWA, Dubai Municipality, Civil Defence, and other relevant entities.

• Maintain company records, contracts, licenses, certificates, and regulatory documentation.

• Track expiry dates and renewals for broker cards, RERA certificates, staff documents, insurance policies, Ejari registrations, and company licenses.

• Assist with email account setup, office administration, and operational support tasks.

• Organize and maintain digital and physical filing systems to ensure accurate record keeping and easy document retrieval.

Requirements

• Minimum 2 years of UAE real estate, property management, or administrative experience.

• Strong knowledge of Bayut, Dubizzle, and property listing management.

• Familiarity with Dubai real estate documentation and processes.

• Experience dealing with tenants, landlords, and property-related administration.

• Knowledge of RDC procedures and Dubai real estate regulations is an advantage.

• Proficient in Microsoft Office, particularly Excel, Word, and Outlook.

• Excellent organizational and time management skills.

• Strong verbal and written communication skills in English.

• Ability to manage multiple tasks and deadlines with attention to detail.

• Professional, proactive, and customer-service oriented approach.

Preferred

• Real estate or property management company experience in the UAE.

• Valid UAE driving licence.

• Knowledge of Property Finder, Trakheesi, Ejari, DLD, and RDC systems.
