Job Purpose: The specialist will focus on administrative coordination, logistics, and event management. This includes organizing workshops, coordinating schedules, and ensuring operational efficiency across simultaneous activities to support the overall significance and delivery of the project from the organization's point of view.
Core Responsibilities:
Events and Logistics Management:
- Coordinate all logistical arrangements, e.g. venues, travel, accommodation and catering, for in-person and virtual workshops and meetings, while ensuring timely, smooth execution and seamless participant experiences
- Liaise with vendors, suppliers, and creative service providers to confirm service agreements and track deliverables, while ensuring full compliance with outstanding items and institutional standards
Project Coordination and Scheduling:
- Support the scheduling, tracking, and execution of parallel project activities, while ensuring proactive identification and resolution of scheduling conflicts or timeline delays
- Maintain and update shared project calendars and activity trackers, while ensuring data accuracy, cross-team transparency, and optimal alignment with operational deadlines
Administrative Support and Documentation:
- Provide day-to-day administrative support, file management, and record-keeping for the project team, while ensuring organized retention of contracts, payments, and logistical documentation
- Prepare presentations, operational reports, and programmatic activity updates, while ensuring strict alignment with internal administrative processes, institutional standards, and partner expectations
Additional Related Duties:
- Perform other related duties as assigned
Qualifications:
Education and Experience:
- Bachelor’s degree in a relevant field is required
- Master’s degree in public administration, public policy, political science, or a related field
- Minimum of two years of experience in project coordination, operations, or administrative roles
- Experience in NGO, academic or development-sector environments
- Demonstrated ability to multitask and manage multiple priorities
Skills:
- Organizational: Excellent organization and prioritization skills, with the ability to manage work for self and others
- Communication: Excellent command of spoken and written English and Arabic
- Technical: Expert user of MS Office and Internet research, knowledge of SAP is a plus
- Administrative or professional role with occasional extended hours during project activities and major program cycles.
