About the Role
Are you a sharp, proactive professional who loves organizing chaos, thinking strategically, and acting as a true partner to leadership?
We are seeking a Strategic Operations Assistant with a "Chief of Staff" mindset to support our business development, content creation, and administrative systems. This is a part-time, long-term contract role (15–25 hours/week) designed for an international freelancer looking for a stable, highly collaborative partnership.
If you are someone who thrives on efficiency, uses their brain to solve problems instead of relying solely on AI, and wants to learn the inner workings of business growth, this is for you.
Key Responsibilities1. Business Development & Sales Support
- Lead Management: Execute daily follow-ups on warm event leads and immediate post-event outreach.
- Outreach Execution: Conduct follow-ups on cold leads via our established roster contracts.
- Proposal Research: Conduct weekly scans of government portals to identify bidding opportunities and notify internal partners.
- CRM Tracking: Maintain and update our sales funnel tracking via Google Drive.
2. Brand & Content Management
- Social Media: Create, schedule, and manage weekly LinkedIn content.
- Engagement: Conduct meaningful ghost-commenting on peer and thought-leader posts.
- Creative Conversion: Transform written LinkedIn articles into polished white-paper PDFs.
3. Administrative Excellence
- Digital Migration: Execute a clean migration of our legacy Google Drive account to a new structured setup; maintain ongoing digital filing.
- Thought Leadership Tracking: Research and update relevant speaking and showcasing opportunities to generate warm leads.
- Drafting: Assist in drafting proposals and speaking engagement applications.
- Special Projects: Manage travel calendars and other operational tasks as efficiency and business growth unlock new hours.
Top Candidate Requirements
- Strategic Mindset: You don’t just execute tasks; you actively look for cost-effective ways to make systems more efficient.
- Exceptional Written English: Outstanding communication skills are a non-negotiable requirement for this role.
- Human-First Approach: Note: If AI could do this job entirely, we wouldn't be hiring. We require a partner who uses their brain, critical thinking, and unique perspective.
- Tech Stack: Proficiency with Google Drive, Microsoft Outlook, and basic lead tracking/CRM workflows.
Onboarding & Training
We believe in setting our partners up for long-term success. We provide a structured onboarding process where you will be personally trained to understand the "why" behind every task.
