Orange County Utilities provides water resources and solid waste recovery services to protect and enrich the lives of the citizens and guests of Orange County Florida. The Fiscal and Operational Support Division provides services including financial management, accounting, information technology, procurement, warehouse and inventory management, facilities maintenance and management, safety administration, communications, and agreements management to the Director's Office and all Utilities divisions.
The Fiscal and Operational Support Division is seeking a qualified individual to fill the position of Administrative Specialist.
Job Description
General Functions:
This position is responsible for coordinating and providing administrative/ clerical support to the assigned division/section. This role is responsible for assisting with the day-to-day functions of the assigned area and for performing a variety of office support tasks including communicating with internal county staff and external vendors.
Work is performed under the direct supervision of the direct supervisor and is reviewed based on the accuracy, timeliness and effectiveness of results achieved.
Representative Duties/Assignments
- Handles high volumes of incoming electronic and hardcopy of invoices and other mail. Prints, timestamp, logs, and distribute mail to appropriate staff per the section¿s requirements.
- Handles high volumes of data entry into Maximo and CGI Advantage.
- Receives and responds to vendor inquiries. Performs research using Maximo and CGI Advantage to assist with resolving vendor invoice issues and information verification as needed.
- Performs a variety of routine clerical and receptionist duties, e.g., general correspondence, routing of phone calls and emails, filing, scanning, completing standard county forms, and reviewing documents.
- Coordinate and schedules meetings, book meeting rooms, and prepare meeting agenda and minutes.
- Supports human resource functions such as interview scheduling and performing reference checks.
- Supports purchasing and vendor relation functions for the department as needed, including but not limited to, researching items and contacting vendors.
- Assists with maintaining electronic and paper filing systems for the assigned section.
- Orders and replenishes office supplies as needed.
- Serves as a back-up to other division administrative staff as needed.
- Participates in emergency activities/response.
- Performs other related duties as assigned.
Minimum Qualifications
Graduation from high school or equivalent and two (2) years of experience in clerical or secretarial work or equivalent combination of relevant education and experience.
Preferences
- Ability to type at a rate of 40 correct words per minute.
- PC experience with word processing, spreadsheet or presentation software.
- Computer software proficiencies to include Outlook, Excel, Word, Maximo, and Advantage Basic knowledge of accounts payable, accounts receivable, or bookkeeping

Pay Grade: 010 – From $18.10 to $22.97
