We are looking for an experienced Executive Assistant to provide direct support to a US-based CEO in managing the details, objectives, and deliverables involved in running multiple companies across two countries.
This role will support the CEO across day-to-day executive administration, specialized projects, reports, presentations, and business coordination. The successful candidate will help the CEO stay focused on strategic initiatives, business growth, critical relationships, and operational priorities while ensuring that key tasks and follow-ups are properly managed.
The role requires a strong mix of administrative, technical, organizational, communication, and relationship management skills. The Executive Assistant will work closely with company staff, vendors, channel partners, customers, prospective customers, and external stakeholders.
This role will also support the CEO in his capacity as Chairman of the Board of an International Chamber of Commerce, which involves interactions with investors, embassy representatives, consular officials, domestic and foreign government representatives, and business delegations.
This position will serve as a foundational role in the company’s expansion of operations into the Philippines.
Essential Duties and Responsibilities:
- Perform complex clerical and administrative work requiring independent judgment, discretion, and strong understanding of executive priorities.
- Manage the CEO’s workflow, calendar, meetings, conference calls, appointments, and daily schedule.
- Compose, edit, and prepare correspondence, memos, reports, and other business documents.
- Create charts, tables, graphs, reports, and presentation materials.
- Manage time, projects, and workflow to meet the expectations of the CEO.
- Support travel research, arrangements, logistics, and itineraries as needed.
- Coordinate projects with executives, team members, and external vendors to maintain visibility on operational projects, deliverables, resource needs, deadlines, and timelines.
- Participate in, schedule, and organize staff meetings, including agendas, pre-read materials, meeting notes, minutes, and follow-ups.
- Conduct research, collect data, and analyze information to prepare reports and documents.
- Liaise with internal staff across different levels of the organization.
- Interact with external vendors, community representatives, and domestic and foreign government representatives.
- Review operating practices and recommend or implement improvements where needed.
- Convert CEO-led workflows and projects into SOPs that can be used to train new team members across multiple functions as the team grows.
- Maintain databases, trackers, files, and documentation for various projects.
- Create, maintain, update, and run reports and financial data with minimal direction.
- Support special projects and other business initiatives as assigned.
- Positively embrace new initiatives as they arise.
- Perform other duties as needed.
Minimum Qualifications:
- 3 to 5+ years of experience as an Executive Assistant to an owner, founder, CEO, or other senior executive.
- Strong customer service skills, preferably with experience supporting VIPs or senior stakeholders in both public and private sectors.
- Must be able to maintain confidentiality across multiple organizations.
- Demonstrates excellent judgment and discretion when handling confidential matters.
- Strong critical thinking and common sense are required.
- Strong knowledge of Microsoft Outlook, Excel, Word, PowerPoint, and Publisher.
- Experience with CRM and project management software.
- Able to work on specialized, professional-level assignments and projects with general direction and guidance.
- Strong interpersonal skills and high level of emotional intelligence.
- Able to initiate duties and activities without constant supervision.
- Able to maintain good working relationships with managers, directors, and staff to bring in support as needed.
- Flexible, resourceful, and able to anticipate executive needs.
- Able to work efficiently and effectively under pressure.
- Strong ability to prioritize workload independently in a deadline-driven environment.
- Action-oriented, goal-oriented, energetic, and willing to take on challenging assignments.
- Able to marshal resources, organize information, and coordinate multiple activities to accomplish goals effectively.
Preferred Qualifications
- Experience working in a multinational environment, specifically with executives.
- Experience working EST hours or night shift is highly preferred.
- Experience in private equity and/or mergers and acquisitions.
- Experience in high-growth operations.
- Experience with event planning, such as annual galas, business symposiums, or similar executive-level events.
Operational Details
- Work setup: Onsite, KMC Manila office
- Schedule: US Eastern Time
- Initial schedule: 9:00 AM to 6:00 PM EST
- Expected schedule after onboarding/training: 8:00 AM to 5:00 PM EST
