Position Summary

The HR Support Specialist is the engine behind our day-to-day HR operations. You will support a small but busy HR team and work with employees and managers across all of our programs. This role reports to the HR Director and plays a key part in keeping our people systems organized, accurate, and running smoothly.

Key Responsibilities

Employee Records & Systems

•       Maintain accurate employee records in BambooHR

•       Keep personnel files organized, complete, and up to date

•       Support HR data integrity across all platforms

Onboarding & Offboarding

•       Coordinate new hire onboarding, checklists, and paperwork

•       Assist with new hire orientation prep and scheduling

•       Support the offboarding process, including separation paperwork and equipment collection

Leave & Attendance

•       Track leave requests and maintain accurate leave records

•       Monitor compliance-related deadlines (FMLA, DC FMLA, DC PFL, ADA accommodations)

•       Assist with return-to-work coordination

Benefits Support

•       Respond to employee questions about benefits and direct them to the right resources

•       Coordinate with our benefits broker and insurance carriers as needed

Recruiting Support

•       Post open positions and manage applicant tracking

•       Schedule interviews and communicate with candidates

•       Process offer letters and pre-employment screening

Compliance & Reporting

       Track background checks, certifications, and training completions

•       Run basic HR reports (headcount, turnover, leave usage, etc.)

•       Help ensure the organization stays current with DC and federal employment law requirements

General HR Support

•       Handle front-line employee inquiries with professionalism and care

•       Upload and organize documents in HR systems

•       Support the HR Director with special projects and administrative tasks

What We're Looking For

Required

•       1–3 years of HR or administrative experience

•       Familiarity with HRIS systems — BambooHR experience preferred

•       Strong attention to detail and ability to manage multiple priorities

•       Comfortable handling sensitive and confidential information

•       Clear communicator in writing, in person, and by email

•       Proficiency in Microsoft Office (Word, Excel, Outlook)

Preferred

•       Experience in a human services, nonprofit, or government-contract environment

•       Working knowledge of DC employment law (DC FMLA, DC PFL, DC Paid Sick and Safe Leave)

•       Familiarity with Service Contract Act (SCA) or federal compliance requirements

•       HR certification (aPHR, PHR, or SHRM-CP) or actively working toward one
