Job Summary
The Payroll Specialist is responsible for reviewing and processing employee attendance records to ensure accurate and timely payroll payments. The role also includes handling payroll-related inquiries and resolving discrepancies in accordance with company policies and labor regulations.
Key Responsibilities
- Collect and review employee attendance, timesheets, and working hours data.
- Process payroll calculations, including:
- Overtime.
- Deductions.
- Allowances.
- Bonuses and incentives.
- Prepare payroll reports and ensure accuracy before final approval.
- Coordinate with the HR department for required payroll approvals.
- Execute salary payments through electronic systems or payroll checks.
- Maintain and manage payroll records with a high level of confidentiality and accuracy.
- Calculate taxes and legal deductions in compliance with company policies and labor laws.
- Update employee wage data, salary adjustments, and payroll-related changes.
- Respond to employee inquiries regarding salaries and payroll matters.
- Prepare periodic payroll reports for finance management and senior leadership.
- Organize and standardize payroll reconciliations within unified financial settlement reports.
- Coordinate and follow up on employee wallet funding and cash transfer processes to ensure timely salary distribution.

- Good knowledge of labor laws and payroll regulations.
- Proficiency in Microsoft Office applications.
- Ability to use payroll systems and database software.
- High attention to detail and commitment to confidentiality.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Ability to manage payroll reconciliations accurately and efficiently.
- Awareness of company policy violations and the ability to apply deductions in accordance with labor law.
- Basic mathematical skills for payroll calculations and payroll system validation.
Qualifications & Experience
- Candidates with an accounting background or practical accounting experience are highly preferred to ensure accuracy in payroll reconciliations and financial settlements.
- Bachelor’s degree in Business Administration, Accounting, or a related field.
- High school diploma holders with relevant experience may also apply.
- Previous experience as a Payroll Specialist is preferred.
- Preferred certifications:
- Fundamental Payroll Certification (FPC).
- Certified Payroll Professional (CPP).
