The Role
At Harambee, effective finance and procurement processes are critical enablers of our mission. The Procurement and Finance Officer plays a key role in ensuring that financial transactions and procurement activities are executed accurately, efficiently, and in line with organisational policies and donor requirements.
Based in Kigali and reporting to the Country Manager, this role supports supplier management, payment processing, procurement coordination, financial record-keeping, and audit readiness—helping ensure that our programmes can deliver meaningful opportunities for young people.
Your Key Responsibilities
- Process and track supplier, programme, and operational payments.
- Maintain accurate financial records and support reconciliations.
- Coordinate procurement activities from request through to delivery.
- Support supplier management, payment tracking, and procurement documentation.
- Ensure procurement and finance activities comply with internal policies and donor requirements.
- Monitor budgets, expenditure, and upcoming payment commitments.
- Maintain audit-ready records and support internal and external audits.
- Prepare procurement and payment reports and identify process improvement opportunities.
- Collaborate closely with programme, finance, procurement, and operational teams across Rwanda and South Africa.
How You'll Work
- Partner with internal stakeholders and suppliers to ensure timely and compliant delivery of goods and services.
- Support procurement planning and supplier sourcing processes.
- Review and validate documentation to ensure accuracy and compliance.
- Track procurement and payment workflows from initiation to completion.
- Maintain structured records, trackers, and reporting tools.
- Contribute to strengthening financial controls, transparency, and accountability.
- Help identify risks, resolve issues, and improve operational processes.
- Balance attention to detail with a proactive, solutions-focused approach.

Must Haves
- Minimum of 3 years' experience in finance, accounts payable, procurement, supplier management, or a related field.
- Experience supporting procurement processes, payment processing, supplier coordination, documentation management, and internal controls.
- Strong understanding of procurement procedures, supplier management practices, payment processes, and audit requirements.
- Strong Microsoft Office skills, particularly Excel, Word, and Outlook.
- Experience with reconciliations, payment tracking, procurement documentation, budget monitoring, and reporting.
- Strong written and verbal communication skills in English.
- Fluency in Kinyarwanda is essential. French would be advantageous.
Nice to Haves
- Experience working in an NGO, donor-funded, or compliance-focused environment.
- Working knowledge of accounting systems such as QuickBooks, Sage, or similar platforms.
- Experience supporting external audits and compliance processes.
- Exposure to procurement reporting and supplier performance monitoring.
