Role Description

The Sr. Specialist – Order Compliance is a full-time, on-site role based in Bengaluru. This role is responsible for reviewing customer orders and contracts to ensure alignment with company policies, technical specifications, quality standards, and regulatory requirements.

The Sr. Specialist monitors order documentation, verifies pricing, terms, and delivery conditions, and coordinates with sales, logistics, finance, and production teams to resolve discrepancies.

The position involves maintaining accurate records, preparing compliance reports, supporting internal and external audits, and proactively identifying risks related to orders.

The role also contributes to process improvement initiatives, supports training on order compliance procedures, and ensures timely, compliant order execution.

Job Roles & Responsibilities

1. Order Terms & Conditions Review

  • Review customer PO Terms & Conditions against Nicomatic's commercial and operational policies.
  • Identify unacceptable, high-risk, or non-standard contractual clauses.
  • Compare customer T&Cs with Nicomatic's quotation, standard terms, and contractual commitments.
  • Highlight deviations requiring clarification or negotiation.

2. Cross-Functional Coordination

  • Organize discussions with relevant CFTs, including:
  • Sales
  • Finance
  • Supply Chain
  • Planning
  • Engineering
  • Production
  • Logistics
  • Quality (for technical input only)
  • Management
  • Collect comments and approvals from stakeholders before finalizing responses.
  • Ensure timely closure of all open contractual points.

3. Commercial & Risk Assessment

  • Evaluate commercial risks related to:

  • Liquidated Damages (LD)
  • Penalty clauses
  • Bank Guarantees
  • Price variation
  • Taxes & Duties
  • Delivery obligations
  • Cancellation & NCNR clauses

  • Liability limitations
  • Escalate high-risk clauses to management.

4. Customer Response Preparation

  • Prepare professional clause-wise responses for customer review.
  • Coordinate negotiations with Sales and Management.
  • Track pending approvals and customer feedback.
  • Maintain revision history of negotiated terms.

5. Documentation & Compliance

  • Maintain T&C review records and approval matrices.
  • Ensure final agreed terms are communicated to Order Management and execution teams.
  • Support contract documentation during order acceptance.
  • Maintain templates and standard response libraries.

6. Continuous Improvement

  • Standardize review checklists and response formats.
  • Develop a database of frequently negotiated clauses.
  • Improve turnaround time for contract reviews.
  • Recommend process improvements within Order Management.

Qualifications & Experience

  • 5+ years in Order Management, Contract Management, Commercial Operations, Sales Operations, or Customer Service within the Defence, Aerospace, Electronics, EMS, or Manufacturing industry.
  • Strong skills in order review, contract validation, and documentation management to ensure accurate and compliant processing of customer orders.
  • Ability to collaborate effectively with cross-functional teams such as sales, production, logistics, and finance to resolve order-related issues.
  • Competence in monitoring adherence to internal policies, industry standards, and regulatory requirements, with attention to detail and risk awareness.
  • Proficiency in using ERP or order management systems, along with solid MS Office skills (especially Excel) for reporting and data analysis.
  • Excellent written and verbal communication skills, with strong analytical and problem-solving abilities.
  • Experience in electronics, components, manufacturing, or a related technical industry is highly beneficial.
  • Bachelor’s degree in business, commerce, engineering, or a related field; advanced certifications in compliance or quality management are an advantage.
  • Demonstrated ability to work independently, manage priorities, and meet deadlines in a fast-paced environment.
  • Exposure to international business contracts and export/import commercial terms.
  • Familiarity with standards such as AS9100 and ISO 9001 is advantageous for understanding customer expectations, although this role operates under Order Management – Sales rather than the Quality Management System (QMS).
