In Ethiopia, UNDP works closely with the Government and partners under the Standard Basic Assistance Agreement (SBAA) to deliver development programmes aligned with national priorities. The Operations Unit plays a critical role in ensuring efficient, compliant, and high-quality service delivery to support programme implementation.

The Protocol and Customs Support Associate will be based in Addis Ababa and will provide administrative and operational support related to protocol services, customs clearance, and liaison with national authorities. The role contributes to efficient service delivery for UNDP staff, projects, and partners.

Key Responsibilities

1. Protocol Services

  • Support processing of visas, residence permits, and entry/exit documentation.
  • Liaise with the Ministry of Foreign Affairs and Immigration authorities.
  • Ensure timely preparation and submission of required documentation.

2. Customs Clearance & Logistics

  • Facilitate customs clearance of shipments by coordinating with customs authorities and clearing agents.
  • Prepare and manage all required documentation for imports and logistics.
  • Monitor shipment progress to ensure timely delivery and compliance.

3. Documentation & Records Management

  • Maintain accurate and organized records related to protocol and logistics services.
  • Support filing, archiving, and retrieval of official documents.

4. Communication & Coordination

  • Serve as a liaison between programme teams, UN agencies, and external stakeholders.
  • Support information sharing and follow-up on pending actions.

5. Administrative & Operational Support

  • Assist in organizing meetings, preparing minutes, and managing correspondence.
  • Support day-to-day administrative operations, including scheduling and document management.
  • Assist in preparing cost recovery documentation for services provided.

Profile Required

Experience

  • Relevant experience in administration, logistics, protocol, or related areas (entry-level experience accepted)
  • Strong organizational and multitasking skills
  • Good communication and interpersonal skills
  • Ability to work under pressure and meet deadlines
  • Proficiency in Microsoft Office and digital tools
  • Ability to work effectively in a multicultural and team-oriented environment

Education

Bachelor’s degree in Business Administration, Management, Logistics, International Relations, or related field.

Languages

  • Fluent English
  • Fluent Amharic
